EVENT PARTICIPANT TERMS & CONDITIONS, RELEASE OF LIABILITY, & RACE RULES

Applicable Events: 5K, 10K, Half Marathon (13.1 Miles), Full Marathon (26.2 Miles)

PLEASE READ THIS DOCUMENT CAREFULLY PRIOR TO REGISTERING. BY REGISTERING FOR THE EVENT, PAYING THE REGISTRATION FEE, OR PARTICIPATING IN ANY EVENT-RELATED ACTIVITIES, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREED TO BE BOUND BY ALL TERMS, CONDITIONS, WAIVERS, AND POLICIES CONTAINED HEREIN.

1. General Entry Requirements & Registration

  1. Binding Agreement: These Terms and Conditions ("Terms") apply to all participants, runners, walkers, and spectators (collectively, "Participants") in any distance category (5K, 10K, Half Marathon, or Full Marathon) organized by the Event Organizer.
  2. Age Restrictions: Participants must meet the minimum age requirements on or before race day as follows: 5K / 10K Races: Minimum age of 10 years old; participants under 13 must be accompanied by a registered adult parent/guardian. Half Marathon (13.1 miles): Minimum age of 12 years old. Full Marathon (26.2 miles): Minimum age of 16 years old. Participants under 18 years of age ("Minors") must have these Terms agreed to and executed by a parent or legal guardian during registration.
  3. Accuracy of Information: Participants must provide complete, truthful, and accurate personal information during registration, including full legal name, date of birth, contact details, and emergency contact information.
  4. Bib Collection: Official race bibs, timing chips, and packet materials must be collected at designated packet pick-up locations during announced hours. Photo ID and registration confirmation are required.

2. Bib Numbers, Transfers, & Refunds

  1. Strict Non-Refundable & Non-Transferable Policy: Except as expressly set forth herein or required by applicable law, all registration fees, processing fees, add-ons, merchandise purchases, and charitable donations are strictly non-refundable and non-transferable to future race editions or other individuals.
  2. Prohibition of Unauthorized Bib Transfer / "Banditting": Bib numbers are uniquely assigned to individual runners for safety, emergency medical identification, and timing integrity. Selling, swapping, trading, or transferring a bib number to another person without formal authorization through the official Event transfer portal is strictly prohibited. Unauthorized bib transfers subject both the original registrant and the unauthorized runner to immediate disqualification and a potential lifetime ban from future Event Organizer events.

3. Event Cancellation, Alteration, & Force Majeure

  1. Force Majeure Events: Event Organizer reserves the absolute right to cancel, delay, modify, reroute, shorten, or postpone the Event in whole or in part due to circumstances beyond its reasonable control, including but not limited to: severe weather (lightning, severe storms, extreme heat/cold, ambient air quality hazards, flooding), natural disasters, civil unrest, terrorism, public health emergencies, epidemics/pandemics, failure of local municipal authorities to issue necessary permits, or directives from government or police agencies.
  2. Absence of Refunds on Cancellation: If the Event is cancelled, postponed, or modified due to a Force Majeure event or safety concern, Event Organizer shall not be liable for any refund of registration fees, processing fees, travel expenses, accommodation costs, or other secondary losses incurred by Participants. In the rare instance where an event is cancelled due to weather or other extreme factors, your entry will be rolled over to the next race date.

4. Health, Fitness, & Medical Authorization

  1. Physical Condition & Training: The Participant certifies that they are physically fit, adequately trained, and medically cleared by a licensed healthcare professional to participate in a physical road race of their selected distance.
  2. Medical Consent & Emergency Authorization: The Participant hereby grants full permission and consent to Event Organizer, medical personnel, emergency medical services (EMS), and race volunteers to administer emergency medical treatment, first aid, CPR, or transportation to a medical facility in the event of injury, illness, or medical emergency during the Event.
  3. Medical Expenses: The Participant acknowledges and agrees that they are fully responsible for any and all costs associated with medical care, emergency transport, hospitalization, or treatment rendered to them during or following the Event.
  4. Medical Authority to Withdraw: Event medical staff and designated course marshals possess absolute authority to order any Participant to withdraw from the race if, in their sole medical judgment, the Participant appears physically exhausted, distressed, or medically unfit to continue safely.

5. Race Course Rules, Safety, & Conduct

  1. Course Cut-off Times: For public safety, municipal permit requirements, and street reopening schedules, strict course time limits are enforced calculated from the time the last wave crosses the start line: 5K: 1 Hour 3 minutes (20:00 min/mile pace) 10K: 2 Hours 5 minutes (20:00 min/mile pace) Half Marathon: 3 Hours 30 Minutes (16:00 min/mile pace) Full Marathon: 6 Hours 30 Minutes (14:53 min/mile pace) Participants remaining on the course after cut-off times will be requested to board the sweep vehicle or transition to public sidewalks. Participants who choose to continue after course closure do so entirely at their own risk without course support, traffic control, or medical coverage.
  2. Bib Placement: Bib numbers must be worn on the front of the torso, outer layer of clothing, and remain clearly visible throughout the entire race. Modifications, cutting, folding, or obscuring bib numbers or timing chips is prohibited.
  3. Prohibited Items & Equipment: To ensure participant safety, the following are strictly prohibited on the course: Pets and animals of any kind (excluding recognized service animals pre-cleared with race management). Bicycles, rollerblades, skateboards, scooters, hoverboards, or motorized vehicles. Running/stroller push-carts. Unregistered pacers or support cyclists. Weapons, explosives, hazardous materials, or illegal substances.
  4. Headphone & Audio Device Policy: The use of over-ear headphones, noise-canceling headphones, or high-volume audio devices is strongly discouraged. Participants choosing to wear audio devices must maintain sufficient situational awareness to hear emergency vehicles, course marshals, and fellow runners.
  5. Sportsmanship: Unsportsmanlike conduct, verbal abuse, harassment, or failure to follow instructions from race marshals, police, or emergency staff will result in immediate disqualification and removal from the course.

6. Assumption of Risk, Waiver, & Release of Liability

  1. Express Assumption of Risk: Participation in a road race involves inherent risks and hazards, including but not limited to: risk of serious bodily injury, permanent disability, paralysis, heart attack, heat stroke, dehydration, contact with other runners or spectators, motor vehicle traffic, surface hazards, weather extremes, and exposure to infectious diseases. Participant fully recognizes and voluntarily assumes all known and unknown risks associated with participation.
  2. General Release: Participant hereby releases, waives, discharges, and covenants not to sue Event Organizer, event sponsors, municipal authorities, local government entities, police and emergency services, venue owners, race directors, contractors, volunteers, and their respective officers, agents, and employees (collectively, "Released Parties") from any and all claims, liabilities, demands, or causes of action arising out of injury, illness, death, or property damage sustained in connection with the Event, whether caused by negligence of the Released Parties or otherwise.

7. Media Release & Publicity Rights

By participating in the Event, Participant irrevocably grants Event Organizer and its authorized media partners, sponsors, and licensees the absolute right and permission to record, photograph, film, and broadcast Participant's image, voice, name, likeness, and race performance metrics in any media now known or hereafter developed, worldwide and in perpetuity, for promotional, marketing, broadcast, or commercial purposes without financial compensation or right of review.

8. Data Privacy & Personal Information

Event Organizer collects personal data provided during registration to manage event logistics, process timing and scoring results, deliver race communications, and ensure safety. Results (including name, age group, city, state, and finish times) will be publicly posted online following the Event. Personal data will be handled in accordance with the Event Organizer's official Privacy Policy.

9. Governing Law & Dispute Resolution

These Terms shall be governed by, construed, and enforced in accordance with the laws of the State/Jurisdiction in which the Event takes place, without regard to its conflict of law principles. Any dispute or claim arising out of or relating to these Terms or participation in the Event shall be resolved through binding arbitration or within the state/federal courts of local jurisdiction.

10. Participant Acknowledgment & Electronic Agreement

By checking the "I Agree" box during online registration, or signing below, I certify that I am at least 18 years of age (or the parent/legal guardian of a minor participant), that I have carefully read and fully understand these Terms & Conditions, and that I voluntarily agree to all provisions contained herein.
